Many events will have various registration options that don’t necessarily line up to the results needed. Or there may be unique situations where results need to be combined. This guide will walk you through creating custom result set configurations to meet these unique situations.
Multiple Registration Options, One Result Set
Some events will have various registration options that do not need individual result sets. For example, you may have registration options such as a “5K-No Shirt” option and a “5K-With Shirt” option. However, for results you just need one “5K” event for user submitted data to be routed.
In this scenario, the event creates a single Result Set and then selects the Alternative Events that are tied to this one set of results. The result data from these alternative events will then funnel into this one Result Set. Skip to the steps below for instructions on setting up this option for results.
One Registration Option, Multiple Result Sets
Some events may have a situation where they have a main registration category or multiple high level registration categories that cover a bundle or multiple types of events. For example, a challenge event could have a one price bundled registration that covers multiple mini challenges such as a hot dog eating contest, a number of steps contest, and a push-up challenge. Each of these will then need a result set created for user data to submit into.
Races can now set it up to have each of these to have their own Result Sets by creating Result Sets for each. In addition, the main registration category can be disabled from results by switching the result set to Alternate Submission Only. Skip to the steps below for instructions on setting up this option for results.
And, of course, there are any number of combinations in between these and the system is designed to provide maximum flexibility.
Enable Virtual Results for Events Requiring Results - Set up virtual results for the main event that you want results. In the example of multiple registration options for a 5K and a 5K No Shirt you would set create a result set for just the 5K event since that is the main leaderboard that you want for results. Do not check the option for Alternate Events because you don't want participants to submit results to more than one result set.
Note: You may need to adjust the name to better describe the event in a more generic fashion. An example would be if you had events for 5K Adult and 5K Youth. In this case you can name the result set 5K or 5K Overall.
Enable Virtual Results for Alternate Events - Now that the main event has a result it is time to enable virtual results on the alternate events. In the example of multiple registration options for a 5K and a 5K No Shirt you would still need to enable virtual results for the 5K No Shirt event, but select that it is only an alternate event. Be sure to check the box to allow participants of the 5K No Shirt event to submit results to the main result set that was set up for the Virtual 5K.
Note: Participants now registered for the Virtual 5K - No Shirt event will be able to submit results for the Virtual 5K so we have a unified leaderboard in our results.
Enable Virtual Results for Main Registration as Alternate Event Submission Only - Set up virtual results for the main registration event option but since participants aren't directly submitting results to this event the Result Set should be set to Alternate Event Submission Only. Be sure to check the box for every Alternate Event that fits into the desired options. In our example the Summer Challenge registration option allows participants to submit results to 3 separate events so the leaderboard is separated out by event.
Create New Result Sets for All Events Needing Results - Set up the virtual result options as normal for each event that should have a unique leaderboard for results.
Any of the above options can be used to mix and match your events and results to get the desired outcome for your virtual event. In addition to allowing registration to single events there are options to hide events from the registration process which would allow a more customized registration process and subsequent results making it easier on participants to register and create additional settings on the back end for results.
Private Events - One quick way to remove event options from registration when the events are only for results purposes is to set a private code. This can be done by going to Race >> Registration >> Dates, Pricing, & Options and expand the Registration Options. Check out this blog post for full details.
Hide Events with Closed Registration - If the registration dates are set in the past and are currently closed there is an option on Step 5 of the Race Wizard to hide those events.
